How we handle your information.

This covers what happens to information you send us through this website — by the contact form, the referral form, or email.


What we collect. When you use the contact form or referral form, we collect what you type into it — for example your name, contact details, and any background you choose to share about yourself or, in the case of a referral, about the person you are referring.

Why we collect it. We use this only to respond to your message or to assess and follow up on a referral. We do not use it for marketing and we do not sell it.

Who sees it. Messages sent through these forms go to OHC staff involved in referrals and enquiries. Referral information involving a named individual's health or recovery needs is treated as sensitive and is only shared internally with those who need it to assess the referral.

Third-party form service. Our forms are processed by Web3Forms, a third-party form-submission service, which forwards the message to our email address. We do not control how long Web3Forms itself retains submission data in transit; you can ask them directly for details of their own processing.

How long we keep it. We keep enquiry and referral information for as long as reasonably needed to respond, and as part of our records where someone becomes a resident, in line with our data retention practice.

Your rights. You can ask us what information we hold about you, ask us to correct it, or ask us to delete it, by contacting us at admin@openhands.charity or 02476 630621.

Analytics. Like most websites, we use Google Analytics to understand how many people visit and which pages they read. This does not identify you personally.
